1. Introduction
At Hold Space, we take your privacy seriously. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, book a trial or consultation, or enroll in our educational programs. Our programs are for students under 18, so a parent or guardian is the one interacting with us and providing information — see Section 3 for how we handle a child's data specifically.
2. Information We Collect
We collect information in a few specific ways, rather than gathering personal data indiscriminately:
- Consultation & Booking Data: when you book a trial session or consultation, we collect the parent or guardian's name, phone number, and email address, along with the child's name and age, preferred time slot, class mode (online or in-person), and language preference.
- Account & Order Data: if you enroll in a program, we collect enrollment and order records, and track course/module progress so we can give the student access to the right materials.
- Tool Usage: if you use a free tool like STEMtor, we store the subjects searched (e.g. "bicycle", "solar panel") to power features like popular and recent searches. These queries are not linked to your identity unless you're signed in.
- Derivative Data: information our servers automatically collect when you access the site, such as your IP address, browser type, operating system, and access times.
- Financial Data: we store only very limited, if any, financial information ourselves. Payment details (e.g., card number, expiration date) are handled directly by our payment processor (Razorpay); we encourage you to review their privacy policy.
3. Children's Personal Data
Hold Space's programs are built for students under 18. We do not knowingly collect personal information directly from a child — a child's name, age, and any other information about them is provided to us by their parent or legal guardian as part of booking or enrollment.
We do not send marketing communications directly to a child; all account, billing, and marketing communication is addressed to the enrolling parent or guardian. If you believe a child has provided us with personal information directly and without a parent or guardian's involvement, please contact us using the details in Section 8 and we will delete it.
4. Use of Your Information
Having accurate information about you permits us to provide you with a smooth, efficient, and customized experience. Specifically, we may use information collected about you via the website to:
- Create and manage your account.
- Process your transactions and send you related information, including purchase confirmations and invoices.
- Provide access to your enrolled courses and educational materials.
- Improve our website, course offerings, and customer service.
- Send you (the enrolling parent or guardian) newsletters and information about promotions and the site.
5. Disclosure of Your Information
We do not sell your information. We share it only in these situations:
- By Law or to Protect Rights: if we believe release is necessary to respond to legal process, investigate or remedy potential violations of our policies, or protect the rights, property, and safety of others.
- Payment Processing: Razorpay (and, where used, Stripe) process payments on our behalf and handle your payment details directly.
- Transactional Email: our email delivery provider sends booking confirmations, receipts, and course-related notifications on our behalf.
- Embedded Simulations: the interactive simulations on our Simulations page are loaded directly from PhET Interactive Simulations, University of Colorado Boulder, inside an embedded frame. Opening a simulation is subject to PhET's own privacy practices, not this policy.
6. Security of Your Information
We use administrative, technical, and physical security measures to help protect your personal information. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.
7. Data Retention & Deletion Requests
We keep personal data only for as long as needed for the purposes described in this policy — for example, for as long as your child is enrolled, plus a reasonable period afterward for record-keeping and legal requirements.
A parent or guardian may request a copy of, or the deletion of, the information we hold about themselves or their child at any time by contacting us — see Section 8. We will action deletion requests except where we're required to retain certain records by law (for example, financial records).
